A block of rooms has been reserved for the IAF-ILAC Joint Annual Meetings from 13 to 25 October 2025, at the Athenee Hotel Bangkok.

Accommodation room rates include free in-room basic Wi-Fi, a hot breakfast buffet, and free access to the indoor pool & fitness center, all valid for the duration of your stay in the hotel. This rate is available on a first come, first serve basis. It is likely the hotel will sell out before this date so please be sure to book your hotel room as early as possible. BUYER BEWARE:

IAF and ILAC have not sourced any housing management companies to solicit members - if you receive a call/email from someone offering to organize your accommodation for the IAF-ILAC Joint Annual Meetings - do not accept. This is generally a scam. Delegates should book their own accommodations directly with the hotel and never through an unsolicited third party. Fraudulent housing brokers scour the internet looking for conferences and meetings and contact members of the association offering to sell hotel rooms at lower costs.

Please note that IAF and ILAC does not endorse and will NOT hire any housing bureaus to contact delegates to offer hotel rooms. Each delegate is responsible for booking their own bedroom. Be aware that many times these fraudulent housing brokers do not actually have the rooms they are selling. Often, you get to the hotel and find out that you do not have a room reservation, and in many instances, you have given your credit card number to a stranger to guarantee the room.

We have only one hotel that has been contracted on behalf of IAF and ILAC – The Athenee Hotel Bangkok. We recommend you book your room either online by using the links above, or by calling the hotel directly at the phone number listed. If anyone emails or contacts you directly offering to sell you a bedroom, it is a scam – delegates are responsible for booking their own accommodations and no one will contact you on behalf of IAF or ILAC to arrange your accommodation.

EXPEDIA, BOOKING.COM, HOTELS.COM AND TRAVEL AGENTS:
If you book your accommodation using outside suppliers like Expedia, Hotels.com or through a travel agent - your room rate may not include breakfast or complimentary Wi-Fi, in your guest room. Any problems arising as a result of booking guest rooms with outside suppliers must be resolved with those suppliers directly. 

SPECIAL NOTICE  

Guest rooms in the IAF-ILAC room block at The Athenee Hotel Bangkok are reserved for delegates who are registered to attend the conference and fully paid. Anyone who has reserved a hotel room without being registered and paid to attend the IAF-ILAC Joint Annual Meetings will be removed from the hotel room block to make room for registered delegates.

EARLY BIRD DEADLINE
Register and submit payment on or before Tuesday, 2 September 2025 at 23:59 (UTC +7 / Indochina time) to receive the early bird discount price. Funds must be received by IAF-ILAC in full on or before the early bird deadline in order to qualify for this rate. Delegates who register before the early-bird rate but do not submit payment in full before the early bird date will have their registration fees automatically adjusted to the regular rate without notice. It is the responsibility of delegates to ensure their payment is received by the conference organizer prior to the cut-off date.

Once the early bird cut-off date passes any delegates whose fees are still outstanding will automatically have their rates adjusted to the regular rate. Please plan sufficient time when sending a wire transfer to ensure the payment is received prior to the cut-off date. No exceptions will be granted.

IN PERSON REGISTRATION FEES
All prices in USD

The in-person registration fee includes complimentary wifi in meeting rooms and meal package. The meal package includes, one morning coffee/tea break, hot buffet lunch and one afternoon coffee/tea break per day for each day a delegate is registered to attend meetings.

Delegates who are not registered for at least one meeting on a particular day will not receive the meal package for that day. Please note, breakfast is not included with the conference registration fee, but you can choose a hotel room that includes breakfast when reserving your room.  

VIRTUAL PARTICIPATION
There is no virtual registration option for this series of meetings.

CANCELLATION AND REFUNDS

Cancellations must be submitted by email to info@iaf-ilac-meetings.org. All email correspondence must originate from the email on the record of registration in order to be considered a valid request. Cancellations received on or before Tuesday, 2 September 2025 at 23:59 (UTC +7 / Indochina time) will receive a full refund less a USD $75.00 administration fee. Cancellations received on or after the above date and time will not be eligible to receive a refund.
